Job description

As the Project and Sales Administrator for Swiss Timing UK, you will be responsible for the administration in relation to the delivery and installation of our Sports Timing equipment.

Your responsibilities will include:

Sales Support & Administration

  • Work with the Brand Manager to generate accurate quotes for our Sports Timing equipment.
  • Provide comprehensive information to customers regarding our product offerings.
  • Maintain regular communication with potential customers, ensuring that leads are followed up promptly and professionally is essential.
  • Efficiently process customer orders and coordinate with suppliers to ensure timely delivery of products.

Project Support & Administration

  • Assist with managing sub-contracts related to main contractors ensuring compliance with regulations, HMRC requirements, and any specifications set by main contractors.
  • Manage accounts with both head office and suppliers.
  • Keep accurate and up to date records and paperwork including company policies and certification.
  • Assist with the annual renewal of SSiP accreditation schemes (Safecontractor, Builder’s Profile, CHAS).

 

Financial Management & Reporting

  • Utilize the OPERA accounting system for various tasks such as generating invoices, monitoring project costings and managing project costings.
  • Prepare delivery notes and commercial invoices.
  • Compile and analyze weekly sales reports and month-end reports.
  • Process invoices and chase for payments and retention fees as necessary.

Logistics and Shipping

  • Arrange and track shipments from different countries (Switzerland, Germany, China, USA) handling any import/export requirements and produce delivery notes.
  • Ensure smooth logistics for field operations by booking travel, hotels and vehicles for technicians along with any access equipment required on-site.

Profile

Essential Skills and Experience

  • Experience working in an administration role, with the ability to work under your own direction to manage your time and prioritize workload and tasks.
  • Excellent organization and administration skills, with a methodical approach to work.
  • Outstanding attention to detail
  • Excellent communication skills.
  • Can-do attitude with an adaptable and flexible approach to work.
  • Proactive and able to use initiative to independently problem solve.
  • Experience working with/preparing reports.
  • Proficient in Microsoft Office Suite.
  • Working knowledge of Adobe Acrobat and using an ERP system for invoicing, 
    purchase orders, stock control and deliveries. Opera would be desirable but not 
    essential.

Desirable Skills and Experience

  • Basic knowledge and understanding of Commodity Codes, Incoterms and Customs requirements.
  • Experience or basic knowledge of retention fees, CIS and DRC.

  • 5 GCSE including Maths and English (or equivalent
