Job description
We are currently recruiting an Assistant to the CFO & Administrative Coordinator based in Le Locle.
We are looking for a team player, with a solution-oriented attitude, being able to stay calm and focus on the priorities in every situation.
Your responsibilities
- Bring daily support to the CFO in all administrative tasks (filing, mail and deliveries, calls and correspondence, team calendar management, scheduling meetings and appointments, management of the agenda and the expense reports, travel support, etc.)
- Coordinate together with all services concerned (Assistant to the CEO, Reception & Hospitality Teams, Internal Services, etc.) all activities linked to the reception of visitors and hospitality on site
- Support the finance team in activities such as :
- Organization and minutes of internal and external meetings
- Preparation of documents (e.g. monthly reporting), presentations and support with follow-up tasks
- Execution of controlling activities in the marketing investments field as well as the internal control system (ICS)
- Control and approval of internal requests and forms (suppliers’ creation, travel requests, loan for use, marketing forms, etc.)
- Validation and follow up of expenses reports
- Filing and archiving of finance documents
- Participate to ad hoc department projects
- Support targets in compliance with the group’s policies and procedures

- Excellent communication skills and ability to interact with all levels of management and departments with diplomacy and tact
- Open minded, flexible and autonomous
- Well organized and able to work well under pressure and within tight deadlines
- Reliable, responsible, proactive and attentive to details
Professional requirements
- Administrative background (min. « maturité professionnelle »)
- 3-5 years’ experience in a similar international environment (administrative or finance department)
- Interest in figures, financial and administrative topics
- Sense for hospitality, experience in the coordination of visits, receptions and events
- Extensive Microsoft office tools skills (e.g. Word, Excel, PowerPoint, Teams, etc.)
Languages
Fluent in French and English (working languages), German and any other language is an important asset.
