As the Official Timekeeper of the Olympic Games, OMEGA will supply timing, scoring and in-venue results systems, equipment and service to the Games.
As an Olympic Partner, OMEGA’s vital role is to provide such precise timing and imaging for every event so that there is no question for the athletes and judges about who the winners are. To do this, OMEGA continually evolves its state-of-the-art technology and equipment and employs a team of experts who will be based in LA to lead with the planning and implementation of the LA28 Games.
Job description
- Represent OMEGA team in Mobilization Working Groups and forums.
- Principal liaison to central Travel & Services team and provide local support for accommodation, transport, accreditation and catering for operational teams.
- Handle arrangements for local travel as required.
- Organize and coordinate regular team meetings, presentations, quarterly and yearly planning process.
- Maintain team holiday calendars and add events to the team’s global calendar.
- Coordinate and book meeting rooms and assist in preparation of materials to support meetings.
- Assist visiting Omega staff with local office logistics;
- Organize and maintain file systems.
- Create and maintain spreadsheets to assist with data analysis.
- Support the team in delivering its objectives.
- Plan and coordinate team events
- Assist with special projects related to the delivery of the Games.
- Act as a communications liaison within and outside of the team as required, including composing and sending outgoing responses and teamwide communications on behalf of the Team Manager.
- Respond to inquiries and refer them to the appropriate team member.
- Partner with team members to provide back-up support when necessary
The position and responsibilities may shift over time as the Olympic Games environment is complex and evolves rapidly.
Profile
The Mobilization & Administrative Associate will be an integral part of the team tasked with ensuring that OMEGA delivers the highest level of services to support LA28, the organizers for the 2028 Olympic and Paralympic Games in Los Angeles, in their mission to create an unparalleled Games experience for athletes, fans, local communities and people everywhere.
In addition to taking primary responsible for mobilization topics (transport, access to sites, vehicle access passes, accommodation), the Mobilization & Administrative Associate will provide assistance and support to the Manager and the on-site team, coordinate and track cross-functional projects end ensure smooth day-to-day operations of the team.
Professional requirements
Skills, Knowledge & Experience:
- 3 - 5+ support years of similar support in Technology environment and or administrative support for mid to upper-level management and project teams.
- Advanced- level use of office software (Microsoft Office (Word, Outlook Word, Excel and PowerPoint proficiency).
- Excellent business acumen and ability to exercise initiative, tact, sound judgment and prioritization.
- Able to observe and maintain the utmost confidentiality.
- Experienced and comfortable using collaboration tools such as SharePoint and Teams.
- Ability to thrive in a fast-paced, ever-changing environment.
- Experience working within large events or similar would be an asset.

Benefits Program
The salary range for this position is between $100,000 and $110,000.
